Supply Chain Coordinator

Background

Future Resilience and Development Foundation (FRAD) is committed to strengthening community systems, promoting inclusive programming, and advancing sustainable humanitarian and development interventions across Northeast Nigeria. As part of ongoing program expansion in Borno State, FRAD seeks to recruit a qualified and experienced Supply Chain Coordinator to support the effective management of procurement, logistics, warehouse, and inventory operations in line with FRAD’s supply chain management policies and procedures.

The position will contribute to ensuring accountability, transparency, compliance, and timely availability of goods and services required for effective program implementation across FRAD operations.

Purpose of the Position

The Supply Chain Coordinator is responsible for coordinating and supporting the effective implementation of FRAD Foundation’s supply chain operations, including procurement, vendor management, logistics, warehouse management, and inventory control. The position ensures that all supply chain activities are conducted in accordance with FRAD policies, donor regulations, and best practices, while ensuring efficiency, transparency, and accountability in the management of organizational resources.

Key Responsibilities

1. Procurement Coordination

  • Coordinate procurement activities in accordance with FRAD procurement policies and donor regulations.
  • Support the preparation and consolidation of procurement plans.
  • Ensure procurement processes follow approved procedures and procurement thresholds.
  • Prepare and review procurement documentation including RFQs, bid analysis, purchase orders, and procurement reports.

2. Vendor Management

  • Support vendor identification, registration, and prequalification processes.
  • Maintain and update the vendor database within the FRAD ERP system.
  • Ensure vendor due diligence and KYC procedures are conducted in accordance with FRAD Vendor Management Policy.
  • Support the monitoring and evaluation of vendor performance.

3. Warehouse and Inventory Management

  • Coordinate warehouse operations to ensure proper receiving, storage, and distribution of goods.
  • Ensure accurate inventory records and stock management through the FRAD ERP system.
  • Monitor stock levels and coordinate timely replenishment of supplies.
  • Support regular physical inventory counts and stock verification exercises.

4. Logistics and Distribution

  • Coordinate transportation and delivery of program and operational supplies to field locations.
  • Ensure proper documentation for dispatch and delivery of items.
  • Support logistics planning for program activities and field operations.

5. Documentation and Record Keeping

  • Ensure all supply chain documentation is properly maintained and archived.
  • Maintain records of procurement, warehouse transactions, and logistics operations.
  • Ensure documentation is readily available for internal and external audits.

6. ERP System Management

  • Ensure procurement, inventory, and vendor management activities are properly recorded in the FRAD ERP system.
  • Monitor system data accuracy and ensure timely updates of supply chain records.

7. Compliance and Risk Management

  • Ensure compliance with FRAD supply chain policies, donor regulations, andorganizational procedures.
  • Support internal compliance monitoring and audit processes.
  • Identify risks within supply chain operations and propose mitigation measures.

8. Reporting and Coordination

  • Prepare periodic supply chain reports including procurement status, inventory reports, and logistics updates.
  • Provide regular updates to the Supply Chain Manager on operational activities and challenges.
  • Coordinate with program teams to ensure timely delivery of goods and services.

9. Support to Program Implementation

  • Work closely with program teams to ensure timely procurement and delivery of project supplies.
  • Support logistics planning for project activities and field operations.

Performance Measures

Performance will be assessed based on:

  • Timely completion of procurement processes
  • Compliance with FRAD procurement and supply chain policies
  • Accuracy of inventory and warehouse records
  • Effective vendor management and procurement documentation
  • Timely delivery of goods and services to program teams
  • Proper maintenance of supply chain documentation
  • Effective use of the FRAD ERP system
  • Successful completion of stock counts and reconciliations
  • Compliance with audit and donor requirements

Qualifications and Experience

Minimum Requirements

  • Bachelor’s degree in Business Administration, or related field.
  • Minimum of 3–8 years of experience in supply chain, procurement, or logistics management, preferably in humanitarian or development organizations.
  • Strong computer skills including Microsoft Office and ERP systems.
  • Experience working in NGO or humanitarian supply chain operations is an advantage.
